Overview

Hiring Range: $19.52-$21.52
Starting salary may be adjusted depending on experience.  

Qualifications

1. High School Diploma or G.E.D. and three (3) or more years of full-time administrative or clerical experience

                  OR

    Associate's Degree in Business, Accounting, or related field and one (1) year or more of full-time administrative or clerical experience

                 OR

    Bachelor's Degree or higher in Business, Accounting, or related field

 

2. Excellent internal and external customer service skills

3. Excellent oral and written communication skills and organization skills

4. Experience using Microsoft Office Software to include Word, Excel and Outlook

5. Possession of a valid driver's license and the ability to obtain/maintain a City of Hoover Driver's Permit

Responsibilities

  • Answers department telephone calls, email and website inquiries, receives and greets visitors to the department, and provides information to callers and visitors or refers callers and visitors to other appropriate departments or City personnel; 
  • Assist with the process of digitizing personnel files and records into HR platform (Munis);

  • Daily sorting and filing of mail and correspondence including providing employment and benefit verification letters as needed;
  • Enters work orders and tracks progress, enters requisitions for purchase orders and track to completion, orders supplies and equipment;
  • Performs data entry, records management, and document processing according to established guidelines as assigned;
  • Assist with record management and retention, background check processes, and Verifications of Employment;
  • Maintain confidential records of employees personnel and medical files;
  • Efficient and fluent with Microsoft and other presentation software;
  • Schedules meetings and maintains online calendar; 
  • Must be very creative and be able to thrive in a fast paced environment; 
  • Capable of maintaining complete confidentiality of any and all department information;
  • Ability to work independently as well as in a team environment to prioritize and complete duties, projects and tasks;
  • Ability to work under pressure in meeting deadlines in a fast paced environment;
  • Ability to switch gears throughout the day to prioritize and simultaneously complete assigned tasks;
  • Excellent internal and external customer service skills;
  • Support the Human Resources department team in the HR process and will be responsible for HR functions and policies;
  • Other duties as assigned by Human Resources Management.
